This privacy policy ("Privacy Policy" or "Policy") describes how we process the Personal Information we collect in the course of providing our services (the "Services"), which includes when you (i) use our AI-powered business process analysis platform, (ii) visit our website, usecasegpt.ai, or any other site that posts this Policy (the "Site"), (iii) apply for a job with us, or (iv) otherwise interact with us directly or indirectly. By using our Services, you agree to this Privacy Policy.
Information Collection
Personal Information Collected
"Personal Information" refers to any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular individual. The Personal Information we collect about you depends on your relationship with us. For example, we collect the following Personal Information in the following contexts:
Registered Users
From users who create an account with us, we collect account information such as name, email address, username and password, and billing or payment information for paid subscriptions. We may also collect any information you otherwise provide to us such as in emails, on our social media pages, or in survey responses. Additionally, we allow users to create their accounts with us by linking a third party account such as a Google account, and depending on your permission settings with that third party, information about your profile with that third party may be shared with us.
Business Process Data
When you use our AI-powered analysis service, we collect the business process descriptions you submit for analysis. This may include information about your business workflows, procedures, and operational details that you choose to share with us. We also store the analysis results generated by our AI systems, including value stream maps, identified bottlenecks, and AI recommendations.
Site Visitors
From visitors to our Site, we collect information that you choose to provide, such as your name, your contact information and other information you choose to provide when using our website contact us function. We may also automatically collect information about your computer or mobile device and your user activity when you use our Site. We use tracking technologies that may collect information such as IP address, referring URL, device ID, web browser characteristics, and date and time of activity. Some of this information (e.g., IP addresses) may constitute Personal Information. This data collection is discussed further in the "Cookies and Other Tracking Technologies" section below.
Job Applicants
From job applicants, we collect contact information, employment and education history, and other information you provide during the hiring process.
Sources of Collection
We collect Personal Information directly from the individual about whom the Personal Information pertains. We may also collect Personal Information from third parties or from publicly available sources. As mentioned, we also collect Personal Information automatically using various tracking technologies on our Site.

- Operate, manage, and run our business and maintain records
- Analyze and conduct analysis and research to improve our AI models and Services
- Provide you with news, announcements, or updates about our Services
- Engage vendors and service providers
- Collect and analyze information about characteristics and behavior of visitors to our Site
- Undertake quality and safety assurance measures and conduct risk and security controls and monitoring
- Detect and prevent fraud
- Perform accounting, audit, and other internal functions

We may also aggregate and/or anonymize Personal Information and analyze that data for statistical or any other purposes permitted by law.
AI Processing Disclosure
Our Services utilize artificial intelligence technology provided by third-party AI service providers, including Anthropic (Claude) and OpenAI, to analyze your business process descriptions and generate insights. When you submit a business process description for analysis:
- Your submitted content is transmitted to our AI service providers for processing
- The AI providers process your content to generate analysis results, which are then returned to us and displayed to you
- We do not use your submitted business process descriptions to train AI models
- Our AI service providers may have their own data retention and privacy policies, which we encourage you to review
We select AI service providers that maintain appropriate security measures and data handling practices. However, by using our Services, you acknowledge that your submitted content will be processed by these third-party AI systems.
Information Disclosure
We may disclose Personal Information in the following ways:
- To AI service providers (such as Anthropic and OpenAI) who process your business process descriptions to generate analysis results.
- To service providers who process Personal Information on our behalf and subject to restrictions on their use of the data, including service providers who provide data hosting (Supabase), payment processing (Stripe), information technology support, email hosting, and other services for the operation of our business.
- To government or judicial authorities or agencies to comply with a subpoena, court order, governmental inquiry, legal process, legal obligation, or to protect the rights, property, or safety of other users or the public.
- To a successor entity or purchaser upon a merger, consolidation, or other corporate reorganization in which we participate, or pursuant to a financing arrangement or event of bankruptcy.
- To any other recipient with your consent.
Security
We maintain organizational, technical, and administrative measures designed to protect Personal Information against unauthorized or illegal access, destruction, use, loss, modification, or disclosure. We make reasonable efforts to provide a level of security appropriate to the risk associated with the processing of Personal Information, however, no data transmission or storage system is guaranteed to be 100% secure in all circumstances.
Retention
We retain Personal Information we collect for the time period required to fulfill the legitimate business purposes for which it was collected and to engage in the use and disclosure practices outlined in this Privacy Policy, unless a different retention period is required by applicable law, or otherwise to fulfill a legal obligation or protect our legal rights. We may also maintain for an indefinite period of time certain Personal Information that has been de-identified. This information is no longer considered Personal Information and we commit not to attempt to reidentify such information.
For registered users, your account information and saved analyses are retained until you delete your account or request deletion of specific analyses. For anonymous users (free tier without an account), analysis data may be retained for a limited period to enable you to access your results.
International Users
UseCaseGPT is located in the United States. If you are located outside the U.S. and use our Services, your Personal Information will be transferred to the U.S. Note that the Personal Information protection laws in the U.S. may be less stringent than the laws of the jurisdiction in which you reside, and may permit courts, government, law enforcement agencies, regulatory agencies and security authorities to access your Personal Information without notice.
Children's Data
Our Services are not intended for children under the age of 13 years old and we do not knowingly collect such information. In the event we learn that we have collected Personal Information from a child under age 13, we will delete it in accordance with applicable law. If you believe that we might have Personal Information from or about a child under 13, please contact us.
Third Party Links
Our Site may link to third party websites and services that are not owned or operated by UseCaseGPT, including links to our accounts on social media sites. We are not responsible for the security or privacy of any information collected by other websites or services. Your Privacy Choices
If you would like to delete your account with UseCaseGPT, you can do so at any time by contacting us at hello@usecasegpt.com. In addition, if you would like to request access to, correction of, or request deletion of the Personal Information we maintain about you, you may do so by contacting us at hello@usecasegpt.com, and we will do our best to accommodate your request.
You may opt-out of receiving email marketing communications from us by using the unsubscribe or opt-out mechanism included in our emails or contacting us. Please note that we may still send you transactional and administrative emails even if you opt-out of email marketing communications.
